A job tracking app for sole traders should help with the whole working day: knowing where you need to be, recording the journey, keeping notes about the work and sending the invoice afterwards. When those details are spread across messages, scraps of paper and separate apps, there is more to piece together at the end of the week.
That is the idea behind Field Service – Site Tracker. It brings customer jobs, mileage, time on site, invoices and expenses into one place for people who work between customer locations.
Why keeping job and travel records together helps
Think about a typical service visit. You have a customer name, an address, an appointment time and perhaps a note about a part to bring. Then there is the drive to the site, the time spent doing the work and any materials used. Later, you need enough detail to prepare the invoice and review your business records.
Keeping those pieces with the job gives you a clearer record to work from. Instead of trying to remember how long a visit took, you can review the recorded travel and site times, check your notes and prepare the charges.
Start with the customer and appointment
In Field Service – Site Tracker, you can create a job with customer contact details, a site address, an appointment date and time, notes and photos. Current and completed jobs are kept separately, so you can review upcoming work and return to the details of a finished visit.
Manual entry is available, and guided voice prompts offer another way to add the information. The app asks questions as you speak the details, reducing the amount of typing needed to create a job. Speech recognition can require internet access, depending on your phone and its recognition service.
Link the journey to the work
Travelling between customers is part of running a mobile business. Field Service – Site Tracker includes GPS trip recording, business and personal trip classification, and distances in kilometres or miles. Business trips can be linked to customer jobs.
The logbook brings together distance, driving time and time on site. You can review date ranges, add historical trips manually and export your records. Recording personal journeys separately also helps you see the distinction between work travel and other trips.
Turn completed work into an invoice
Once the work is finished, the next step is often the paperwork. The app can create PDF invoices with labour, parts, travel and other charges. You can include your business details and logo, adjust the invoice items and share the finished document.
Saved invoices let you review sent, paid and unpaid amounts and resend an invoice when needed. Keeping the invoice alongside the job makes it easier to check what was done and what still needs attention.
Give receipts somewhere to go
A fuel receipt in the console and a materials receipt in your pocket are easy to leave until later. The expense tools let you photograph receipts and record dates, descriptions, amounts and categories while the details are still fresh.
You can also record income outside your job invoices. Date filters and exports help you gather the records you want to review or share with your accountant. Cloud backup and restore are available with Pro when signed in.
